A – Area

Location, location, location. A simple statement we know but not always easy! Your chosen venue needs to have a good transport network around it. Whether people are travelling from nearby or a longer distance it is important to make it as easy and as stress free as possible for them.

B – Budget

Budgets are often one of the main factors when deciding which venue is most suitable. During the investigation stage make sure that you discuss your budget in detail, a good venue will be able to offer you advice as to how to make your budget go further. If you are able to be flexible with your dates, you might find that you can get a much lower rate by booking a certain day of the week or month of the year. Don’t just assume a venue is too expensive, ask first, you might be surprised at what you find.

C – Capacity

It goes without saying that you need to check whether your chosen venue can meet your capacity requirements but don’t forget to look into the finer details too. Check out the lobby areas, break out rooms and entrances. Sometimes you may require a partition in a room if it is too large, make sure that under these circumstances that the room is still fit for purpose. Take time to consider the various set up styles available to you and see what works best for your needs.

D – Deliver

Can the venue deliver the event that you are looking for? Is their level of customer service good enough? Do they have expert knowledge to help you along the way? Does the building itself have the right ambience and atmosphere for your particular needs? What are the most important factors that will determine success for your event? Make a detailed list and discuss it with the Events Team. Catering can be a vital consideration too, ask to see example menus and make sure that the options are flexible. It is likely that you might have to compromise on some things but the clearer your priority list is, the more likely you will keep these to a minimum.

E – equipment

It is imperative that your venue provides all of the equipment that you need for your event but also that they have the expertise on site during the day itself to offer any support that you might need. If your venue does not provide some of the equipment, you may be able to hire it in and they should be able to guide you on this. Ask about the team and find out who will be there during the event itself.

F – First Impressions

It’s an old saying but first impressions do last. What were your first impressions of the venue? Whether this is on the phone, by email or in person it is likely that your attendees will receive a similar welcome so you want to make sure that you book somewhere that is professional from the very beginning.

G – Go

Go and see the venue for yourself. If you can possibly take the time to view the venue first hand, this will certainly make the decision a lot easier. Most venues will offer the opportunity to go and take a look around at a time that is convenient to you. You will be able to see the rooms often set up for a similar function, be able to experience their customer service and get a really good feel for the venue itself. You may also discover some further details about the venue that you didn’t know but which make it the perfect choice!
